Who we are

Kindling is a trading name of Airframe Media Ltd (company number 14224876, registered office 10a Chauncey Close, London, England, N9 9SE). It is the data controller for the information described here. Contact: [email protected].

Information we collect and where it comes from

Business contact details from public notices and websites. When a company wins a public contract, the buyer publishes the award, often with a contact email, on Find a Tender or Contracts Finder. We also use contact addresses companies publish on their own websites or on trade show exhibitor lists. We record the company, the address, the contract it won and when we wrote.
What you send us. If you reply, ask for a check or a weekly list, or send tender documents, we keep your emails and anything attached.
Lead lists from exhibitors. Only after the exhibitor has agreed our terms. We act for the exhibitor (as their processor) and use the list only to draft their follow-up emails.
Website visits. Counted with Cloudflare Web Analytics, which uses no cookies and does not track you across sites.

Why we use it, and our legal basis

We email companies about public contracts that fit work they have already won, and we help those who ask. We rely on legitimate interests: telling a business about relevant public contracts is closely related to the work it already does, we only write to limited companies and LLPs at addresses published for business contact (never to a personal webmail address without consent), we say in every email where we found the address, and we stop the moment anyone asks. When you ask us for something, we use your information to provide it.

Who sees it

We don't sell or share your information. It is held on our own systems and with the services we use to run Kindling: Zoho (email), Cloudflare (website) and Anthropic (the AI service that helps draft and research, which processes text for us under its business terms). If you agree to an introduction to a bid writer, we share only what you agree to.

How long we keep it

Contact details of companies that don't reply: 12 months from our last email, then deleted.
If you ask us not to contact you: your address is kept on a do-not-contact list, only so we never write again.
Tender documents you send: deleted 30 days after the tender deadline unless you ask us to keep them.
Exhibitor lead lists: deleted within 7 days of sending the drafts.

Your rights

You can ask us what we hold about you, ask us to correct or delete it, or object to us using it, at any time, by emailing [email protected]. Replying "stop" to any email is enough to object. If you're not happy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
